Terms & Conditions

These Terms & Conditions ("Terms") govern your membership of the RunLetters Half Marathon Coaching program ("the Program"), provided by Caroline Claassen ("Coach", "I", "me"). By signing up and starting your free trial, you confirm that you have read, understood, and agree to these Terms and to the separate Assumption of Risk, Waiver of Liability and Data Protection Agreement ("the Waiver").

1. What the Program is

The Program is a subscription coaching membership that includes a personalised training plan delivered through Final Surge, live group strength and mobility sessions, monthly webinars, and access to a community forum. The Program provides endurance and fitness coaching only. I am not a medical doctor, physiotherapist, dietitian, or licensed healthcare provider, and nothing in the Program is medical advice.

The free trial exists so you can decide whether the Program is right for you before paying anything. For that reason:

Once the 7-day free trial has ended and a payment has been taken, paid subscription fees are non-refundable. This includes any monthly or quarterly payment already charged. You can cancel future renewals at any time, but payments already made are not refunded.

5. Injury or illness during the Program

Running and strength training carry inherent risks, which are described in full in the Waiver. You are responsible for your own health and safety and for training within your limits.

If you become severely injured or unwell during a training block and are unable to continue, please get in touch at coaching@runletters.com as soon as possible. While paid fees are non-refundable, I will always try to find a fair solution together with you, such as pausing your plan or adjusting your training where reasonably possible. Any such arrangement is offered at my discretion and is not a guarantee or entitlement.

Performance and health outcomes depend on many factors outside my control, including your consistency, recovery, genetics, and circumstances. I do not guarantee any specific performance result, race time, or the prevention of injury.

8. Limitation of liability

To the maximum extent permitted under Portuguese law, you release me from liability for injury, illness, or damages arising from your participation in the Program where these result from ordinary negligence. Nothing in these Terms excludes or limits liability for gross negligence (negligência grosseira), wilful misconduct (dolo), or any liability that cannot lawfully be excluded.

9. Your data and privacy

I take the privacy of your information seriously, especially your training and health data.

Your training data and health information remain completely confidential. They are never sold, and never shared with anyone, unless you have given me your explicit permission, or unless disclosure is strictly required by law or necessary in a medical emergency.

The data I collect (your name and contact details, onboarding answers, injury and health history, and training and performance data) is used only to provide and adjust your coaching. Health data is treated as sensitive data under the GDPR and is processed on the basis of your explicit consent and the performance of our coaching contract. Full details, including how long data is kept and your rights, are set out in the Data Protection section of the Waiver.

You have the right to access, correct, or request deletion of your personal data at any time by emailing coaching@runletters.com, and you may lodge a complaint with the Portuguese Data Protection Authority (CNPD).

10. Changes to the Program or these Terms

I may update the Program or these Terms from time to time, for example to reflect new features or legal requirements. If I make a material change, I will let members know by email. Continuing your membership after a change means you accept the updated Terms.

11. Governing law

These Terms are governed by the laws of the Portuguese Republic, and any dispute will be submitted to the competent courts of Portugal.
